This position is responsible to the Head of School and TMA Board of Trustees and is directly supervised by the Head of School. All TMA employees are expected to abide by all TMA policies and procedures as set forth in the TMA Employee Handbook.

General Description of the Job:

The Director of Marketing and Admissions is responsible for ensuring all duties as described below and as designated by the Head of School, including the following: raise the awareness of TMA in the community, ensure a steady stream of mission-appropriate prospective students, and develop strong relationships with current and alumni school families. This position has overall responsibility for marketing, admissions, and development of school community; leads the Marketing Team; and directly supervises the Administrative Assistant.

Essential Functions of the Job:

Marketing/Promotion:

  • Manage and continuously improve all facets of internal and external customer service as an integral component of TMA’s marketing program
  • Lead and develop the Marketing Team
  • Supervise, support, evaluate, and facilitate the professional development of the Administrative Assistant
  • Collaborate with the Marketing Team on marketing program development
  • Develop and implement an annual marketing plan that supports strategic marketing goals and includes strategies for expanding internal and external marketing
  • Collaborate with Rob Hosier of Clarity Creative Group to:
    • Gather information and produce the weekly newsletter, The TMA Connection
    • Develop and manage TMA’s presence in social media, ensuring mission appropriateness
    • Design marketing materials including: ads (print and electronic, including social media, ad blasts, and email), advertorials, admission materials, and magazine articles
    • Ensure the maintenance and evolution of TMA websites as effective communication and marketing tools for external and internal audiences
  • Develop and manage advertising budget, including placement of ads
  • Identify opportunities for promoting TMA. Write and/or review, revise & approve all press releases
  • Attend private school fairs (prepare display & participant materials; set-up & tear-down of booth)

Annual Giving Campaign:

  • Manage the Annual Giving Campaign
  • Draft and coordinate all direct mail solicitation appeals each year
  • Track individual giving levels, expenses and response rates of appeals
  • Draft thank you letters and manage other correspondence with individuals
  • Implement a matching gift program

TMA Community Development and Event Planning:

  • Market, plan (in collaboration with program administrators), and attend Open House events for current and prospective families
  • Market and attend, as requested by program administrators, parent development events
  • Coordinate and secure parent volunteers to assist with school projects/fundraisers
  • Coordinate and attend community-building events (Backyard Bash, The Event, Spring Thing)
  • Serve as staff liaison for volunteer-led events and committees, ensuring that committees follow TMA guidelines
  • Research and identify other community giving opportunities

NOTE: This position has oversight responsibility for fundraising events such as The Event (ensuring that volunteers understand and comply with school policy & procedure), not direct responsibility for event planning and execution.

External Marketing and Admissions:

  • New Student Recruitment:
  • Serve as point of contact for prospective families requesting information about TMA
  • Schedule visits, evaluations, admission interviews, and classroom observations for prospective families and students
  • Maintain an adequate supply of enrollment forms and publications
  • Maintain archive of ads and promotional materials, etc.
  • Maintain TMA’s Facebook page, updating a minimum of 2 times per week
  • Monitor online school reviews, Yelp!, GreatSchools.net, and PrivateSchools.com Admissions:
  • Oversee the program of admissions of new students and coordinate with the Business Manager, appropriate program administrator, and Head of School to ensure appropriate communication channels are used so that Administrative Team members and prospective families experience a seamless process from initial contact through first day of attendance
  • Evaluate continually and redesign where appropriate all aspects of the admissions and marketing program with the goal of maintaining a capacity enrollment of qualified, mission- appropriate students and a wait list of qualified applicants that consists of at least 10% of the maximum class size for each program level
  • Implement TMA admission procedures including responding to requests for information, ensuring appropriate and timely follow-up on all prospective families, scheduling and conducting school tours, class observations, student evaluations, and family interviews with the Head of School for prospective families
  • Maintain RenWeb admission database and keep relevant statistics on all aspects of the admission and re-enrollment program; provide reports to Head of School in a timely manner
  • Design, develop, coordinate, and attend admissions events

Head of School Support:

  • Keep Head of School informed of any parent, staff, student or facility concerns
  • Represent TMA at various gatherings and conferences; serves on TISC (Tarrant Independent School Consortium) Alumni Relations:
  • Develop a wide variety of ways to communicate with all alumni
  • Build and maintain alumni database
  • Ensure alumni Facebook page is updated

Required Knowledge, Skills, and Abilities:

  • Bachelor’s degree required (marketing preferred)
  • Experience in marketing and/or admissions (minimum of two years preferred)
  • Experience in a Montessori school and strong understanding of Montessori philosophy (preferred)
  • Strong oral/written communication and presentation skills
  • Planning, organization, and project management skills
  • Ability to work with families from diverse cultures
  • Strong interpersonal skills, including high social intelligence
  • Ability to work as a team member, multi-task, and be flexible
  • Demonstrated technology skills, including social media

Physical Requirements and Work Environment:

  • Repetitive motion of the wrists, hands, and fingers due to using a computer
  • Close visual acuity required for viewing a computer monitor and reading
  • Hearing – ability to perceive sounds at normal speaking levels with or without correction
  • Talking – expressing ideas by means of the spoken English word to convey information
  • Working at a desk and computer screen for extended periods of time
  • Work in a traditional climate controlled environment
  • Be able to occasionally lift up to 15 pounds
